Start With the Booth Layout, Not the Flag
Most buyers begin a trade show project by browsing flag shapes. It is more reliable to work the other way around. Before you compare formats, sketch the booth: where visitors approach from, which direction the aisle traffic flows, where the counter and product displays sit, and where the hall’s structural columns or neighbouring stands will block sightlines.
That sketch answers most specification questions on its own. A stand on a corner with two open sides usually needs height at the corner to catch traffic from both directions, while a stand in a row of similar booths may need a horizontal banner above head height to break the visual rhythm of the aisle. Once the layout is clear, choosing formats and sizes becomes a practical exercise rather than a guessing game.
The Main Formats and What Each One Does
Trade show flags and banner systems are not interchangeable. Each format solves a different problem, and most successful stands combine two or three rather than relying on a single piece.
| Format | Typical role | What to check before ordering |
|---|---|---|
| Feather flag | Height and motion at the aisle edge; draws the eye from a distance | Pole sections and packed length; base type; single or double-sided printing |
| Teardrop flag | Entrance marker or queue point; stable shape in light air movement | Graphic curvature at the top; whether artwork distorts near the pole sleeve |
| Rectangle / razor flag | Large flat graphic area for product shots and short claims | Wind slots or mesh options for outdoor forecourts |
| Pop-up backdrop | Defines the back wall of a small stand; doubles as a press or photo wall | Frame width, magnetic bars, and whether a carry bag ships with the kit |
| Table throw | Ties the counter into the overall graphic scheme | Stretch versus draped fit; flame-retardant options where the venue requires them |
| Hanging banner | Overhead visibility across a large hall | Venue height limits and rigging rules — check before production |
Fabric Choice: What Actually Matters on a Show Floor
Exhibition banners live a hard life. They are folded into bags, loaded into vans, unpacked in a hurry, and left under hot lighting for three days. The fabric spec should reflect that reality.
Knitted polyester, often around 110–130 gsm, is the common base for dye-sublimation flag printing. Ink is driven into the fibre rather than sitting on the surface, so the graphic generally copes better with folding and creasing than a surface-coated material. Heavier weights hold a shape more firmly but pack larger; lighter weights pack small and travel well but can look thin in a large format.
For indoor stands, a fabric with a matte finish photographs well under hall lighting and reduces glare on phone cameras — worth considering if visitors are likely to photograph your stand. For outdoor forecourts, mesh reduces wind load and keeps a large banner stable in conditions where a solid panel would swing hard on its base.
Single-sided or double-sided?
Single-sided printing with a liner block-out layer gives you a readable graphic on the front and a neutral or lightly branded reverse. Double-sided printing puts a separate graphic on each face, which is typically what you want for a flag placed in an open aisle where visitors approach from both directions. Double-sided flags cost more and weigh slightly more, so specify deliberately rather than by default.
Bases and Hardware for Real Venues
The base is where most first-time orders go wrong. A cross base with a water bag is adequate indoors where the public will brush past. A spike base only makes sense outdoors on grass or soil and is useless in a carpeted hall. For outdoor event flags custom setups at a race circuit or forecourt, a plate base with a weighted ring or a screw-in ground stake is usually the more sensible pairing.
- Indoor, carpeted hall: cross base plus water or sand bag; keep the footprint inside your stand boundary.
- Indoor, hard floor: cross base with a rubber mat, or a plate base where stability matters more than portability.
- Outdoor, paved: plate base with added weight; consider mesh graphics.
- Outdoor, soft ground: spike or ground stake, with a pole set rated for the height you are using.
Also confirm the packed length of pole sets. A two-metre flag with a four-section pole packs shorter than one with three sections, which affects courier costs and whether the kit fits into a sales rep’s luggage.
Artwork Setup That Avoids Reprints
Most production delays on trade show orders come from file problems rather than printing capacity. Send vector logos where possible, or raster artwork at a resolution that holds up at the final print size — as a working rule, large-format graphics need considerably more than web resolution. Include bleed and keep critical text and logos well inside the safe area, because pole sleeves, hems and the curved top of a teardrop all consume visible space.
Ask for a digital proof showing the artwork placed on the actual template, not a flat file. This is the step where reversed logos, misaligned text or a key product shot falling into the sleeve area get caught. For repeat exhibitors, keep approved templates on file so that next season’s refresh only needs a text or colour change.
Sizing, Viewing Distance and Message Discipline
A flag seen from twenty metres down an aisle has room for a logo and three or four words. That is the entire budget. Buyers often crowd a 3 m flag with a product list, an address, three QR codes and a slogan, and the result reads as texture rather than a message.
A practical approach is a two-tier system: distant pieces carry brand and one benefit, while closer pieces such as counter graphics or a backdrop carry detail. If you want visitors to scan something, place the code at roughly chest height on a flat surface rather than at the top of a curved flag where phone cameras struggle with the angle.
Notes for Importers, Distributors and Online Sellers
If you are buying container volumes rather than single kits, a few packaging and catalogue decisions pay back quickly. Specify whether each item ships as a complete kit — printed graphic, pole set, base, carry bag — or as components, because online sellers generally need a single scannable SKU that a customer can order without adding hardware separately. Confirm carton dimensions and weights per kit so your fulfilment cost model is accurate before you commit to a listing price.
Replacement graphics are a useful line extension. Corporate buyers change campaigns more often than they change hardware, and a supplier who can hold the hardware specification on file and reprint to the same template makes repeat purchasing straightforward. It is worth asking your manufacturer whether they keep templates and pantone references archived for this purpose.
Finally, build in time for the venue’s own rules. Some exhibition centres restrict rigging and hanging banners, cap the height of freestanding displays, or require documented flame-retardant treatment for fabrics inside the hall. These requirements vary by city and by organiser, so they must come from the venue rather than from assumption — and they should be settled before artwork goes to print.
